Loan conditions and request submission

GMB curators are available for consultation regarding planned loans. Applicants are kindly asked to contact GMB curators prior to submitting a loan request, as this increases the likelihood of a positive outcome. GMB curators provide general information related to the availability and condition of object(s).
Request approval
A formal written loan request must be addressed to the GMB Director and must include the following information in as much detail as possible:
- borrower's details (name, address and contact details of statutory representative / contact person, business details);
- list of requested objects (identification details – author, title of work, dating of work, inventory number);
- exhibition title;
- exhibition venue and duration dates of loan;
- curator(s) name(s);
- exhibition focus – short libretto;
- whether borrower is also requesting an object reproduction for publication purposes;
- reasons that these particular GMB objects are to be included in the exhibition.

Request processing timeframe
For loans within Slovakia, we require the request to be submitted at least 60 days prior to the anticipated object collection date. For international loans, the requirement is at least 90 days.
Request approval
Each loan request is considered on its own merits. Request approval is preceded by an assessment by a GMB specialist department. Objects of exceptional value are subject to a separate, stricter approval regime. Each loan request is assigned a GMB registration number. The applicant is usually informed of the outcome within 30 days of submitting the request.
GMB may request financial reimbursement for costs associated with preparing objects for loan. This relates primarily to matting and framing of the works on paper, as GMB loans objects in this format. The cost will be notified in advance. The applicant will also be asked to provide details of the insurance they intend to use to cover the loan and its transportation.
Subject to the Director's decision, a draft Loan Agreement will be sent to the borrower specifying the terms and conditions of the loan. The objects can be collected only after the contract has been signed by both parties.
GMB reserves the right to refuse a loan request.
